EMPLOYEE MASTER MODULE ( HRMS RAILWAY )
This module allows the Establishment dealer authority to enter employees’ details like Basic Info,
Family, Personal, Communication info, Employee Current Status, Medical and Qualification, etc. which
needs to be verified and accepted by the assigned Authorities (Cadre Clerks and Officers).
e – SERVICE RECORD (SR) MODULE
e-SR module emphasises on digitization of the Service Record of an Employee. It contains all details
involved in an Employee’s Career path from the Initial Appointment, Promotions, Pay Change History,
Transfers, Training Details, Leave Details, etc., which is verified and accepted by assigned authorities
(Cadre Clerks and Officers).
e – OFFICE ORDER MODULE ( HRMS RAILWAY )
This module will enable the authorities to issue all types of Office Orders related to transfer, posting,
promotion etc., record joining, relieving information of the employees to update the Book of Sanction.
e – EXECUTIVE RECORD SHEET MODULE
This module display data related to service history of Railway officers.
e – EMPLOYEE SELF SERVICE (ESS) MODULE
All serving Railway Employees (Gr. A, B, C) can update their service particulars and biodata in HRMS by raising a Change Request to respective Dealing Clerks / Officials through this Self Service Module.

All serving Railway Employees will now avail and apply for e-Privilege Pass/PTO through HRMS
Application only. E- Privilege Pass/PTO generated can be utilized for booking physical Railway Tickets
across PRS/UTS Counters and online tickets through IRCTC.
e – PF LOAN & ADVANCES MODULE
This module will enable the authority to process PF Loan & Advance Withdrawal and Employees to
apply for withdrawal for PF Loan & Advances.

e-APAR module will help in timely completion of performance appraisal of all Gr. C employees.
e – SETTLEMENT MODULE ( HRMS RAILWAY )
Settlement module will enable the authority to finalize the settlement of superannuating employees
with ease and convenience. Superannuating Employees will be able to fill up Digital Pension Booklets
through this module. Welfare Inspectors will assist the employees to fill up the Pension Booklet.
e – POST RETIREMENT COMPLIMENTARY PASS AND WIDOW PASS MODULE
This module will facilitate all Retired Railway Employees and Widows of retired Railway Employees to
apply for e-Post Retirement Complimentary Pass and Widow Pass, which can be utilized for booking
physical Railway Tickets across PRS/UTS Counters and online tickets through IRCTC.
Indian HRMS Railway e-pass cancellation request
- Open the HRMS application website page.
- Select the option “pass” then “my issued passes” on the homepage menu.
- The system will show a list of all issued passes.
- Next, click the option “cancel” against the UPN, which you need canceling.
- Proceed and enter the reason for cancellation. Upload all approved documents for the authority.
- Next, click the submit button; the details will be sent to the pass clerk for further action.
- The employee can view the status of the application by selecting the option “applied.” The option should be next to the cancellation pass requested.
- The portal will send the status instantly. If the request was rejected, you could apply again by selecting “apply again.”

e-PASS/PTO MODULE ( HRMS RAILWAY )
CONFIRM FAMILY DECLARATION & PASS SET LIST
- Login to HRMS Website with your HRMS ID, Password & OTP.
- In the left side panel, click on the ―PASS‖ menu.
- Click on the ―Family Declaration‖ option. .
- Select each family members for declaration of family for Pass, enter remarks and documents (if required).
- Then click Submit for verification/acceptance by Pass Clerk.
(If family member details not shown, please contact concerned Dealing Clerk / Officer to Update & accept family data by Accepting Authority) - Click on the ―Pass Set List option under Pass menu. .
- Click on the Confirm, if manual Pass availed entry detail is correct.
APPLY NEW PASS APPLICATION
- Click on the ―Pass Set List‖ option under Pass menu.
- Select ―Type of Pass from the drop down menu– ‘Privilege
- Pass or PTO. and

BOOKING TICKET ( HRMS RAILWAY )
THROUGH PRS COUNTER
- Login to HRMS Website with your HRMS ID, Password & OTP.
- Click ―My Issued Passes‖ to view list of issued Passes/PTOs.
- Click the five digit ―Unique Pass Number (UPN)‖ to download on your Mobile device or in computer to take a print copy of your e-Pass.
- Click ―Send OTP SMS and one four digit alphanumeric ̳Pass Booking OTP’ will be sent to your registered mobile number, which will be valid for 24 hrs.
- Fill up Reservation Form with journey details and Passenger details.
- Give your Pass Number and Pass Booking OTP at PRS Counter which are required to be entered against each Passenger for booking the tickets. (Different Passes can be used in single ticket Booking)
- Once the e-Pass details provided by the user are validated, PNR will be generated by a successful response from the PRS system and your ticket will be booked.
THROUGH IRCTC WEBSITE
Visit IRCTC e-ticketing website (https://www.irctc.co.in/) and login with your IRCTC Login ID and Password. If you are not a registered
User of IRCTC website, first register yourself and generate your Login ID and
Password.
Click ̳Pass Booking’ option available under ̳TRAINS‘ menu at
IRCTC e-ticketing website (https://www.irctc.co.in/) and
IRCTC Rail Connect Mobile App (download from Play Store).
Enter the train details and select class of Berths, then click Check Availability & Fare to search your suitable train.
Enter Passenger details at passenger reservation page. Also enter five digit e-Pass ̳Unique Pass Number (UPN)‘ and four digit ̳Pass Booking
Code’ & Press OK to validate your Pass at the time of booking.
Once the e-Pass details provided by the user are validated, PNR will be generated by a successful response from the PRS system an your ticket will be booked.
e-PF LOAN & ADVANCES MODULE
HOW TO APPLY ?
- Login to HRMS Website with your HRMS ID, Password & OTP.
- In the left side panel, click on Loan & Avances, and then
- click ―My PF Loan Application‖.
- Click on ―New Application‖ Button.
- Employee‘s basic, Bank details, last PF Loan details and PF balance will appear on the screen
- Then, Select—‘Withdrawal Type’ and enter ̳Withdrawal Reason’
- Enter ̳Applied Amount’ as applicable.
- Enter ̳No. of Installments ‘(if Temporary Loan).
- Enter ̳Dependent Name/Remarks’ (if any).
- Upload requisite documents justifying the PF Loan Withdrawal Reason.
- Click on Submit button.
- Enter the OTP sent to your registered mobile number.
- Click on Ok button.
- After successful submission the Application Number (15 digit alpha numeric) gets generated like PF2020110900122, for further processing by Loan Dealing Clerk (LDC), Loan Verifying
- Authority (LVA) and Loan Accepting Authority (LAA)
- Once Loan application is sanctioned by accepting authority, it will be forwarded to IPAS system to pass the Loan Amount by Pension Section of Accounts Department.
